Organise automation flows with tags for
MS Power Automate Desktop app and automation cloud portal

Overview
Designing and envisioning UI/UX solutions for features, functionalities and workflows for leading Microsoft automation platform
Power Automate (Windows app, cloud portal and mobile), automating business processes and enhancing productivity of business professionals and organizations around the world.
Power Automate Desktop (PAD) is a Microsoft application used for Robotic Process Automation (RPA), allowing you to automate repetitive desktop and web tasks using low-code, drag-and-drop actions, or a recorder on your Windows computer.
Problem
Makers and CoE admins need a more efficient way to organize their desktop flows, as they encounter difficulties with flow discovery, development and maintenance at scale within their current organisation. Current proposal includes design explorations of tagging solution of desktop flows for supporting Tomo, Quinn and Avery personas in organising and discovering more intuitively their desktop flows (owned, co-owned or shared with them), for completing key user goals and tasks through their daily routine as sharing, running and troubleshooting flows through PAD desktop app and Automation Center cloud portal.
Solution
Leveraged customer feedback and LinkedIn communities’ input for feature selection and rethought the whole process, based on direct feedback from customers, and suggested a user experience which both business and admin users can follow effortlessly through Power Automate desktop app and automation center cloud portal.

Design solution

Step 1

✔️ Engaged and participated in the process of feature selection, alongside product manager, and technical feasibility discussions (and PoC) of suggested flow organization solutions (MS Solutions, folders, tags) with architects and engineers of Power Platform ecosystem apps

✔️ Set up a shared FigJam board with related docs, notes, stickies etc so that product, user research and design can use this as a go-to visual board where they can partner and be aligned from the start iterating through all related feature documentation e.g customer insights, telemetry findings, problem statement, user goals, user stories, user scenarios, HMW’s, flow diagrams, and personas

Step 2

✔️ Planned and implemented, with product owner, a series of "Listening to Customers" sessions sharing designs and Figma prototypes for "Organize with tags" feature (desktop and cloud portal touch points) and iterating with direct feedback from real customers like AT&T, Nationwide and Novartis making sure we’re designing for the right problem
✔️ Primary User Task: Add tags to
Console DF list

Step 3

✔️ Primary User Task
Makers: Filter Console DF list with tags

Step 4

✔️ Secondary User Task
Makers: Disassociate tags from selected flow

Step 5

✔️ Repeated the same process from previous phase and pitched iterated designs (including AI-powered user scenarios) along with related questionnaire to another live session with representative business users (Admins and Makers) at Power Champions MS network (103 customers from 86 different organizations)
✔️ Shared lessons learned, report and findings with MS business and design studio partners in US for awareness and further impact across Microsoft organization
